Branded Insert Packing Approval Checklist for China Orders

Short answer: connect each product SKU to one approved insert, specify its quantity per retail pack and show the exact position. Approve evidence of the first fully packed unit for each different configuration, then agree how the batch will be checked for missing, wrong or duplicate inserts. Artwork approval alone does not approve the packing method.

Branded insert approval workflow from SKU matching to insert selection, placement and first packed unit review
Match the SKU, choose the approved insert, define its placement and review the first packed unit.

Match each SKU to an insert and packing instruction

Use one row for each different product, language, bundle or placement. The fields below are a blank planning template, not a real customer order. Alongside the approved file, record the SKU identifier, required insert count per pack, packing owner and placement-photo reference.

Field Example of a clear instruction Why it matters
Item name Thank-you insert, retail box, barcode label or care card Separates multiple printed components
File and version Named filename plus revision and release date Identifies the only approved artwork
Finished size Width, height, depth and unit Prevents scale assumptions
Material and finish Specified paper, board, film or finish to be confirmed Connects appearance to a physical specification
Print scope One or two sides, colour method and special areas Clarifies what the quotation includes
Text and language Final copy and required market language Reduces outdated or incomplete copy
Placement Inside box, under product, outside carton or on unit Defines the packing instruction
Approval Who approved which proof and when Creates a release gate before production

Approve the first fully packed unit

Start from one approved artwork reference. Keep file-version administration in the broader version-control process; this approval checks how that file is physically paired and packed with the product.

  1. Identify the product SKU or variant in the evidence.
  2. Show the approved insert before packing, including language and required count.
  3. Photograph the insert in its intended position relative to the product and accessories.
  4. Show the closed retail pack to check fit, protection and closure.
  5. Record approved, correction required or held against that exact evidence.
  6. Repeat the approval when SKU, language, bundle, count or placement changes the configuration.

Check content before checking print quality

Beautiful printing cannot fix wrong copy. Review the brand name, SKU, language, instructions, contact details, barcode data and any market-specific statements before release. ChinaManufactories does not provide legal, trademark, product-safety or regulatory certification advice; the brand owner should obtain qualified review where required.

Connect artwork approval to packing placement

A correct insert can still fail if it is packed with the wrong SKU, placed where the customer cannot see it or omitted from part of the batch. Add a placement photo or diagram to the packing instruction and name the inspection evidence you expect.

A first-unit photo proves only what is visible in that example. Agree the batch-check scope and exception owner before release; do not assume one correct unit proves the whole batch.

Check four insert errors before release

Error Evidence Decision
Missing insert Affected SKU, checked units and insert stock Identify scope and agree correction
Wrong insert or language Product-to-card comparison and approved references Separate affected goods and confirm mapping
Duplicate insert Count inside retail pack and required count Correct count and review insertion step
Damage or wrong placement Open/closed pack evidence and placement reference Revise packing method and approve a new example

Use the agreed checking method and acceptance criteria. If the affected scope is unknown, record it as unknown and clarify it before release.

Reconcile insert quantities before approving the packing batch

For each SKU or language version, record the planned number of packs, required inserts per pack and usable insert quantity received. Keep damaged, obsolete or unidentified cards outside the usable total.

  • Calculate the inserts required for the stated packing quantity.
  • Compare that requirement with the identified usable stock.
  • Record any shortage or surplus and who approves the next action.

Available cards for one SKU should not silently cover a shortage for another. Agree a revised packing quantity or correction before proceeding.

Share your product, quantity, destination and business email. Mention the SKU or insert-count question you need to clarify.

Control point Evidence Decision
Digital proof Rendered artwork with size and version Approve content and layout
Physical sample Photos or sample showing material, colour and finish Approve production reference or request correction
First packed unit Photo showing SKU, insert and placement Approve packing method
Batch check Agreed sample of packed units and labels Release, correct or hold
Warehouse handoff Carton count and received-version record Confirm the released version arrived

What to send a supplier

  • The approved artwork file, not a chat screenshot.
  • A written specification for size, material, finish and print scope.
  • The product or SKU mapping for each insert or label.
  • A placement instruction with an annotated reference where helpful.
  • The required proof or sample before mass production.
  • The approval contact and rule for any requested change.

Before comparing costs, use the custom packaging quote guide. For a broader control process, follow packaging and label version control.

Need to scope packaging before a small order?

Send the product link or short description, target quantity, destination country and business email. ChinaManufactories can use those four inputs to identify SKU, insert placement and packing handoff questions that need to be scoped. Insert handling and checking work must be agreed for the order; this does not provide legal, trademark or regulatory review.

Start with the basics. Share one product link (or a short description), your target quantity and destination country. We will use these essentials to identify what needs clarification before the next sourcing step.

    Frequently asked questions

Can one packed-unit approval cover several SKUs?

Only when their packing configuration is the same and the scope is recorded. Use separate confirmations when language, count, placement, bundle or product identification changes.

What if the insert changes after packing starts?

Identify what was already packed, separate versions, agree the current instruction and approve a new example if the configuration changes. Record how affected goods will be corrected before release.

Should I send editable artwork to the supplier?

Send the production format the supplier genuinely needs, but keep a controlled approved master. If an editable file is required, specify which elements may be adjusted and require a proof before production.

    Is a digital proof enough?

It may confirm content and layout, but it does not prove material, finish, colour or packed placement. Choose the evidence according to the financial, brand and compliance risk.

Who should approve translated packaging text?

The brand owner should arrange competent language and market review. A supplier or sourcing coordinator can place approved text but should not be assumed to provide legal or regulatory validation.

Can inserts be added during consolidation?

Sometimes, depending on the warehouse capability, product packaging and agreed service. Confirm the insertion method, SKU mapping, evidence and added handling before goods arrive.
