Direct answer: Before a Chinese supplier releases inventory for an FBA shipment, confirm the approved product specification, batch quantity, visible quality checks, seller-provided product and carton label files, packaging, units per carton, carton count, dimensions, weight, destination and transport plan. Use the current workflow and requirements shown in your own Seller Central account because marketplace and product requirements can change.

A shipment should pass six documented gates before inventory leaves the supplier or consolidation warehouse.
Who this checklist is for
This checklist is for first-time Amazon sellers and small brands whose products are complete or close to shipment from China. It helps organize communication among the seller, supplier, inspection party, consolidation warehouse and freight provider.
It is not an Amazon compliance approval. The seller remains responsible for confirming the current requirements for the product, marketplace, shipment and destination in Seller Central and applicable official guidance.
Gate 1: Confirm the product and production batch
Compare the finished batch with the written specification or approved reference. Record:
- model, colour, size, material and finish;
- included parts, accessories and instructions;
- ordered quantity, completed quantity and any shortage;
- approved variations and rejected defects;
- whether the approved sample differs from the production batch;
- product or destination documents that the seller must obtain or confirm.
An approved sample alone does not release a batch. It is a reference; the production quantity still needs an agreed check appropriate to the product and order risk.
Gate 2: Confirm packaging
Verify the packaging actually used, not only the packaging shown in a quotation. Check the unit pack, multipack or set configuration, protective materials, sealing method and outer carton condition. Photograph one completed unit and at least one closed carton.
If packaging must be changed, approve the change before the supplier packs the full batch. Rework is easier to control before cartons are sealed and moved.
Gate 3: Control label files and placement
The seller should provide or approve the current files and placement instructions generated for the relevant listing and shipment. The supplier should not recreate barcodes, shipment labels, warnings or destination information from memory.
Use a label control record with these fields:
| Field | Confirmation |
|---|---|
| File name and version date | |
| Product / SKU covered | |
| Label type and quantity | |
| Placement reference | |
| Old barcode covered where required | |
| Print and scan check completed | |
| Seller approval |
Do not publish permanent label dimensions or warehouse-address instructions in a reusable supplier sheet. Retrieve the current requirements and destination details from the seller’s active workflow.
Gate 4: Lock carton data
Carton information should describe the packed shipment, not an early estimate. Confirm after final packing:
- units per carton and number of cartons;
- carton sequence or identifier;
- packed carton dimensions;
- gross and net weight where required by the transport workflow;
- product or SKU mix in each carton;
- photos showing closed cartons and readable applied labels;
- any cartons that differ from the standard pack.
The unit total calculated from the carton data should reconcile with the accepted batch quantity. Resolve differences before transport is booked.
Gate 5: Keep evidence of checks and exceptions
Use a written check record that identifies the batch, date, sampling or checking approach, findings and open exceptions. Photos should be linked to the relevant product, carton or issue instead of being sent as an unlabeled collection.
When a defect or packing exception is found, record one of three outcomes: rework and recheck, seller-approved exception, or hold. Silence is not approval.
Gate 6: Make a release decision
Choose one documented outcome:
Release
The agreed product, packaging, label-file, carton-data and check evidence is complete, and the seller has confirmed the current destination and shipping workflow.
Rework
The issue can be corrected before departure. Define the affected quantity, correction, evidence required and recheck owner.
Hold
Pause movement when essential specifications, quantity, label files, carton data, destination, payment or responsibility for an unresolved issue is unclear.
Recheck the release record when shipment inputs change
If the SKU mix, packing, carton count, label file or destination changes after approval, identify the affected cartons and reopen the relevant checks. Record the replacement information and the seller’s approval before movement resumes.
Suppliers should work from the seller’s current approved instructions. This record does not establish Amazon acceptance or replace the seller’s current Seller Central requirements.
Still at the sample stage? Keep that separate from inventory release. The sample identification and consolidation guide helps preserve supplier traceability when samples arrive from different sources.
Share your product, quantity and destination to clarify a release change. Mention the changed packing or shipment input; do not send account credentials.

When several suppliers feed one FBA shipment
Send products from each supplier to a consolidation point before the final shipment when the order requires combined checking, relabelling, repacking or carton-data reconciliation. Keep each supplier’s batch identifiable until quantities and exceptions have been resolved. Consolidation should not erase traceability.
ChinaManufactories can coordinate China-side supplier communication, visible checks, packaging or label execution based on seller-provided requirements, consolidation and shipping preparation. Final marketplace eligibility, compliance and Seller Central settings remain the seller’s responsibility.
Frequently asked questions
Should a supplier ship directly to an Amazon fulfillment center?
It depends on the shipment and whether the supplier can complete the seller’s current product, packaging, label, carton-data and transport requirements. A consolidation or preparation step can be useful when several suppliers are involved or when independent checking and rework may be needed.
When should carton dimensions and weight be confirmed?
Confirm them after final packing and before the transport plan is finalized. Early estimates can support planning, but the release record should use measurements from the packed cartons.
Is an approved sample enough to release a production batch?
No. A sample is a reference for the agreed product. The production batch still needs an appropriate check against the specification, quantity, packaging and documented exceptions.
Who is responsible for current FBA labeling requirements?
The seller is responsible for confirming current requirements in Seller Central and official Amazon guidance for the relevant product, marketplace and shipment. Suppliers and service providers should execute only from the approved current files and instructions.
Can products from several suppliers be consolidated before FBA shipping?
Yes, when the shipment plan allows it. Keep each incoming batch identifiable, reconcile quantities and exceptions, and approve the combined carton data before release.
